TutorZone (hereinafter referred to as “the Platform” or “we”) values and is committed to protecting the privacy of parents’ and students’ personal data. This policy aims to explain how we collect, use, store, disclose, and protect your and students’ personal data, and your rights under the Hong Kong Personal Data (Privacy) Ordinance.

1. Scope of Personal Data Collection

To provide tutor matching, course scheduling, and related services, we may collect the following information:

1.1 Documents that parents/students may provide when registering or submitting tutoring requests

Contact number
WhatsApp number
email address
Student’s grade level, courses taken, learning needs, tutoring subjects, and learning goals
Available class time, location preference and budget range
If you are applying for in-home tutoring, you may need to provide the address of the tutoring session or your residence.

1.2 Information that may be collected during the course arrangement or service.

Class Record
Attendance, rescheduling, and cancellation of class materials
Payment information and transaction records
Learning progress or classroom follow-up materials
Your communication records with this platform and your tutors related to the services.

2. Purpose of Data Use

We collect and use parent and student information primarily for the following purposes:

Provide mentor matching service
Contacting parents/students and following up on tutoring needs
Arranging, confirming and managing classes
Track your learning progress and access service inquiries
Processing payments, refunds, and related administrative matters
Improve platform services and internal operations management
Compliance with applicable laws, regulations or regulatory requirements

2.2 Secondary uses (subject to applicable regulations)

Send education-related information, offers, or promotional messages.
Conduct questionnaires, service evaluations, or satisfaction surveys.
If we intend to use your personal data for purposes other than those originally collected or not directly related to them, we will first obtain your explicit and voluntary consent.

3. Data Sharing Guidelines

We will only disclose information to the extent reasonably necessary to achieve the purpose of our services, and will try our best to adhere to the principle of minimal information disclosure.

3.1 Necessary Sharing

Once a tutor is successfully paired, or if there is a reasonable need to facilitate a confirmed pairing and class arrangements, we may provide the tutor with the following information:

Parent/Student Titles or Names
Contact phone number or WhatsApp number
Basic learning needs of students
Tutoring subjects, class schedule and related classroom materials
Address for in-home tutoring or class (only required for arranging and conducting this particular or related class).

3.2 Sharing is prohibited.

Unless required by law, with your explicit consent, or necessary for providing the service, we will not disclose the following information to our tutors or other third parties:

ID card number
Financial Account Information
Unnecessary supporting documents
Sensitive personal data not directly related to tutoring services

3.3 Third-party service providers

We may also disclose necessary information to payment processing institutions, website and system service providers, technical support providers or other partners who assist in the operation of this platform, but only to the extent necessary for them to perform their service functions.

4. Parent/Student Consent Terms

When you submit a tutoring application, register an account, or continue to use the services of this platform, you acknowledge that you have read and agree to the contents of this policy, and agree that this platform may collect, use, store, and disclose relevant information as described in this policy.

If you choose the in-home tutoring service, you agree that this platform may provide the tutor with your class address or residence information after a successful match, or when it is reasonably necessary to arrange a class, so that the tutor can go to teach, contact and handle matters related to the class; such information may only be used for purposes directly related to the tutoring service and may not be used for other purposes.

If you do not agree to provide your address information, it may affect the in-home tutoring arrangements. This platform can suggest changing to online tutoring or other feasible methods.

5. Data Protection Measures

We will take reasonable and appropriate technical and management measures to protect personal data security and prevent unauthorized or accidental access, processing, disclosure, deletion or loss.

Relevant measures may include:

Encrypted transmission or protected system access mechanisms
Restrict employees and partners from accessing data according to their job requirements.
Internal procedures management and privacy awareness training
Security arrangements to review documents as needed.

6. Data saving and deletion

Personal data will only be retained for the period necessary to achieve the purpose of collection, or as required by law and reasonable operational needs; thereafter we will take reasonable steps to delete or anonymize the data.

If you submit a deletion request, we will process it where reasonably practicable and in accordance with legal requirements. However, some data may need to be retained for a period of time due to legal, dispute resolution, transaction record or service management requirements.

7. Parents’/Students’ Rights

Under applicable law, you have the right to:

Check if we have your personal data and request a copy.
Request correction of inaccurate or incomplete information
Where applicable, request the deletion or cessation of use of certain data.
Refuse to use personal data for direct marketing purposes

8. Handling of Special Circumstances

We may disclose necessary information in accordance with the law in the following circumstances:

In accordance with laws, court orders, or the requirements of law enforcement or regulatory agencies
To protect the legitimate rights and safety of parents, students, tutors, this platform, and the public.
When business restructuring, transfer or merger is involved, and notification shall be given where reasonable.

This platform may update this policy from time to time in response to legal regulations, regulatory requirements, service arrangements, or business operation needs. Updated versions will be published on the platform and will take effect upon publication.
