Parent/Student Privacy Policy

TutorZone (hereinafter “the Platform” or “we”) values and is committed to protecting the privacy of parents’ and students’ personal data. This Policy explains how we collect, use, retain, disclose and protect your and your student’s personal data, as well as the rights you enjoy under Hong Kong’s Personal Data (Privacy) Ordinance.

1. Scope of Personal Data Collection

To provide tutor matching, lesson arrangements and related services, we may collect the following data:

1.1 Data you may provide when registering or submitting a tutoring request

• Parent/student name or title

• Contact phone number

• WhatsApp number

• Email address

• Student’s grade, course of study, learning needs, tutoring subjects and learning goals

• Available lesson times, district preference and budget range

• If applying for home tutoring, this may include the lesson address or residential address

1.2 Data that may be collected during lesson arrangements or service provision

• Lesson records

• Attendance, rescheduling and cancellation data

• Payment information and transaction records

• Learning progress or lesson follow-up data

• Communication records between you, the Platform and the tutor relating to the service

2. Purposes of Data Use

We collect and use parent and student data mainly for the following purposes:

2.1 Primary purposes

• Providing tutor matching services

• Contacting parents/students and following up on tutoring requests

• Arranging, confirming and managing lessons

• Tracking learning progress and handling service enquiries

• Processing payments, refunds and related administrative matters

• Improving platform services and internal operational management

• Complying with applicable laws, regulations or regulatory requirements

2.2 Secondary purposes (to be handled in accordance with applicable requirements)

• Sending education-related information, offers or promotional messages

• Conducting surveys, service evaluations or satisfaction reviews

• If we intend to use your personal data for purposes other than the original collection purpose or a directly related purpose, we will first obtain your explicit and voluntary consent.

3. Data Sharing Rules

We will only disclose data to the extent reasonably necessary to achieve the service purpose, and will follow the principle of data minimisation wherever possible.

3.1 Necessary sharing

After a tutor match is confirmed, or where reasonably necessary to complete a confirmed match and arrange lessons, we may provide the following data to the relevant tutor:

• Parent/student title or name

• Contact phone number or WhatsApp number

• Basic learning needs of the student

• Tutoring subjects, lesson time arrangements and related lesson data

• Home-tutoring residential address or lesson address (limited to what is needed to arrange and conduct the relevant lesson)

3.2 Prohibited sharing

Unless required by law, with your explicit consent, or necessary for the provision of services, we will not disclose the following data to tutors or other third parties:

• HKID number

• Financial account information

• Unnecessary supporting documents

• Sensitive personal data not directly related to the tutoring service

3.3 Third-party service providers

We may also disclose necessary data to payment processors, website and system service providers, technical support providers or other partners assisting with platform operations, but only to the extent necessary for them to perform their service functions.

4. Parent/Student Consent

When you submit a tutoring request, register an account or continue to use the Platform’s services, you confirm that you have read and agreed to this Policy, and that you consent to the Platform collecting, using, retaining and disclosing the relevant data as described in this Policy.

If you choose home tutoring, you agree that the Platform may, after a successful match or where reasonably necessary to arrange lessons, provide your lesson address or residential address to the relevant tutor so that the tutor can travel to teach, contact you and handle lesson-related matters; such data may only be used for purposes directly related to the tutoring service and must not be used for any other purpose.

If you do not agree to provide your residential address, this may affect home-tutoring arrangements; the Platform may suggest switching to online tutoring or another feasible option.

5. Data Protection Measures

We adopt reasonable and appropriate technical and administrative measures to safeguard personal data and prevent unauthorised or accidental access, processing, disclosure, deletion or loss.

Such measures may include:

• Encrypted transmission or protected system access mechanisms

• Restricting access to data by staff and partners according to their duties

• Internal procedure management and privacy awareness training

• Reviewing data security arrangements as needed

6. Data Retention and Deletion

Personal data will only be retained for the period necessary to fulfil the collection purpose, or as required by law and reasonable operational needs; afterwards we will take reasonable steps to delete or anonymise the data.

If you submit a deletion request, we will process it where reasonably practicable and lawful, but some data may need to be retained for a period for legal, dispute-resolution, transaction-record or service-management reasons.

7. Parent/Student Rights

Under applicable law, you have the right to:

• Check whether we hold your personal data and request a copy

• Request correction of inaccurate or incomplete data

• Request deletion or cessation of use of some data where applicable

• Refuse the use of personal data for direct marketing purposes

8. Handling of Special Circumstances

In the following circumstances, we may disclose necessary data in accordance with the law:

• In response to legislation, court orders, or requests from law enforcement or regulatory authorities

• To protect the legitimate rights, interests and safety of parents, students, tutors, the Platform or the public

• In the event of business restructuring, transfer or merger, with reasonable notice where appropriate

9. Policy Updates

The Platform may update this Policy from time to time in response to changes in laws and regulations, regulatory requirements, service arrangements or operational needs. The updated version will be published on the Platform and take effect upon publication.
